The morning of 25th May 2018 brought a new dawn in the digital era when the General Data Protection Regulation, popularly termed as GDPR, came into practice. As a strict regulation for private companies that sell or store personal information, the announcement came as an assurance to the citizens of EU and EEA who were apprehensive about the security of their sensitive data. 

It stands to reason that GDPR places seemingly simplistic details like name, photo, email address, bank details, social networking updates, location details, medical information, and computer IP address into its list of personal data. Each of these pieces of information about an individual can pose serious threats related to Identity theft and fraud. However, it may be questioned as to why private companies are the targeted audience of the regulation. 

To answer that query, the regulation justifies that personal data of any person is equally valuable in the public, private, or workspace. And while its protection is thoroughly observed in public spheres, the vulnerability of digital systems in the private sector is its huge setback. Here is a list of changes that a company needs to incorporate to become a GDPR compliant firm:

1. Thorough Filtration of Company’s Data

Since GDPR demands the data subject to be aware of the platforms where his/her personal information is used, it has become equally necessary for companies to ensure that its databases do not contain any such document or data whose collection has not been permitted by the data subject. Proper systems must be installed that can check the accessibility and protection procedures of sensitive user data, besides ensuring compilation of only industry-specific data category.

2. Redefining the Types of Data Companies Can Collect

In the GDPR world, it would not be easy for providers to keep information that does not relate to its specified allowances or has not been authorized by data subject for usage. In fact, they are required to remove any data that cannot be used. For the clean-up process, companies need to specify their reasons for choosing to archive or save certain databases. Also, should the company choose to encrypt the data rather than erase it completely, it may have to justify its stance for the same as well.

3. Taking Responsibility for Setting Up Security Systems

The primary aim of GDPR is to ensure that the EU-National or any data subject is never at the risk of losing his/her private data. This is why the responsibility for its protection also lies with the corporate authorities that choose to collect it for business purposes. In the GDPR run web, companies are needed to install infrastructures and appoint safeguards for protecting their users’ information. Even outsourcing does not shift the duty from the collecting company to the processing vendor.

4. Define Company Protocol for Handling Issues Related to User Data

Under GDPR rules, data subjects receive eight basic rights that basically allow them to add, change, and remove their personal information from any business provider’s platform. It is imperative for an application boasting such a drastic law to require considerable time. This is why companies need to be prepared to handle individual inquiries of users about their personal information. Company policies and regulations must be set to tackle the situations where a user wishes to remove or transfer his/her collected data and file a complaint in case of legal concerns.

Data is an invaluable asset of an individual, for it opens the avenues of many opportunities “ both favorable and unfavorable – for him/her. Companies highlighting their support in the protection and preservation of user personal information can surely attract the trust of consumers.
